Guild privacy notice

What we process

Submissions contain a contact email, display name, city, event or listing text, and the dates, venue, source link, service category, budget or expiry date you provide. Listing submissions also include separately supplied public contact details and explicit permission to display them. The system also records consent time, review status and necessary administrative actions. Salted hashes of IP addresses and email addresses help limit spam; hosting services also process technical information needed to handle requests.

Why we process it and who can see it

We use submission information to check sources, contact contributors, handle corrections and reports, and decide whether content should be published. Administrators with the appropriate permissions and restricted review processes handle the review queue. The email supplied for internal verification does not automatically become a public contact or a newsletter subscription.

When AI review is enabled, submission content, display names and contact details you explicitly authorise for public display may be sent to OpenAI to assist review. The private verification-email field and anti-spam IP identifiers are not sent to the model. Details you separately enter and authorise in the public-contact field form part of the review input; do not include private information in the body text.

Content published after approval

Approved event or listing titles, descriptions, cities, venues, dates, source links, display names and explicitly authorised public contact details may appear on the site. Do not place private contact details, home addresses, identity documents, passwords or other people's undisclosed information in the body text. Search engines and third parties may retain public pages; we cannot control copies already stored on other sites.

Service providers and data location

We use Vercel to host the website and server requests, and a Supabase project in Sydney (ap-southeast-2) to store submissions and review records and support administrator authentication. These providers process the relevant information to operate the site. A Sydney database region does not mean that all network delivery, service operations or technical support take place only in Australia, nor does it establish legal compliance.

Website analytics

We use Vercel Web Analytics to measure public page views, visitor counts and traffic sources, and understand device types and approximate locations. It does not use cookies. We remove query parameters and fragments from page URLs before sending them, exclude administrator pages, and do not send form contents to this analytics service.

Browser preferences and email

Your browser stores your language preference locally; administrator sign-in also involves account and session information. The email newsletter is not enabled and the site does not collect newsletter subscriptions. Any future subscription feature will explain its purpose, confirmation and unsubscribe process separately; existing submission emails will not automatically become subscribers.

Applications and map locations

Commission requests and provider applications receive basic AI content checks daily at 6 pm Sydney time and may be published automatically after approval. Admins review when needed and can correct decisions or remove listings. You may select a service area and separately opt in to the makeup map; this does not create a pin automatically. Staff confirm the name, contact details and coordinates permitted for public display, distinguishing approximate areas from public service locations. Contact us to correct or remove a map entry.

Interactive maps use OpenStreetMap tiles. When you open a map, your browser requests map images for the visible area; the tile service receives your IP address and technical request information. We do not request or collect your live location. External directions links are handled by the linked map service.

Access, correction and deletion

To ask about, correct or delete your submission, request removal of public content, or ask how information is handled, contact us through the homepage WeChat entry and include the relevant page link or submission details. We will check the connection between the request and the information before acting; do not send passwords or identity documents for this purpose.
